1. Who we are
PetScheduler is a product operated by HummingAgent ("HummingAgent", "we", "us", or "our"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit petscheduler.ai (the "Site"), when you communicate with us, and when you interact with our AI scheduling assistant (the "Service"), including by voice call. 2. Information we collect
Information you provide. When you contact us, book a consultation, or sign up for the Service, we collect information such as your name, email address, phone number, business name, and the details of your inquiry.
Voice call information. When the Service answers or places a call on behalf of a participating business, the call may be recorded and transcribed so that appointments can be booked accurately, reminders can be sent, and service quality can be reviewed. Callers are informed at the start of the call that they are speaking with an AI assistant, and recording or transcription is disclosed as required by applicable law. Call data may include the caller's phone number, the audio of the call, a text transcript, and details shared during the call such as a pet's name, requested services, and scheduling notes.
Information collected automatically. When you use the Site, we and our service providers may automatically collect standard technical information such as IP address, browser type, device information, pages viewed, and the dates and times of visits. This information helps us operate, secure, and improve the Site.
3. How we use information
We use the information we collect to:
- provide and operate the Service, including booking appointments, sending confirmations and reminders, and managing waitlists on behalf of participating businesses;
- respond to inquiries and schedule consultations you request;
- review call recordings and transcripts to maintain accuracy and improve the quality of the Service;
- maintain the security and integrity of the Site;
- comply with legal obligations and enforce our Terms of Service.
We do not sell personal information, and we do not use call recordings or transcripts for advertising.
4. How we share information
We share personal information only in limited circumstances:
- With the business you contacted. If you call a business that uses the Service, the details of your call, including recordings, transcripts, and booking information, are shared with that business so it can serve you.
- With service providers. We use vendors that help us operate the Site and the Service, such as hosting, telephony, transcription, and scheduling providers. They may process personal information only to provide services to us.
- For legal reasons. We may disclose information when required by law, to protect our rights, or in connection with a business transfer such as a merger or acquisition.
5. Data retention
We retain personal information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Call recordings and transcripts are retained for a limited period consistent with these purposes and are then deleted or de-identified.
6. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. To exercise any of these rights, email hello@hummingagent.ai and we will respond within the time required by applicable law. If you prefer not to speak with an AI assistant on a call, you can ask to be routed to a person or to leave a message, and the business will follow up.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, and misuse. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond promptly if an issue arises.
8. Children's privacy
The Site and the Service are intended for business use by adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and post the updated policy on this page. Material changes will be communicated in a reasonable manner, such as a notice on the Site.
